Academic Calendar
Check-In for New Faculty
Office Hours and Space
The Academic Calendar can be found on the BRCC website.
Convocation
Full- and part-time faculty must participate in all Convocation (fall only) activities that are not listed as “optional” on the Convocation schedule.
Commencement
Full-time faculty are required to attend Commencement (spring only) in regalia, which can be rented from the BRCC Bookstore. Attendance is not optional.
Goal
Full-time faculty must submit their annual goal to their department chair by September 30. Progress on this goal will be considered during the Faculty Evaluation process.
Meetings
Division and department meetings are held at least once a month or as needed. Adjunct faculty are not required to attend department or division meetings but are encouraged to do so regularly. Full-time faculty are required to attend these meetings. Agendas and meeting minutes/videos are located on the division Canvas site, and all faculty are strongly encouraged to read department and division meeting agenda/minutes to stay abreast of department and division information.
- Division meetings are on the 2nd Thursday of every month
- Department Meetings are on the 3rd Tuesday of every month
- Faculty are required to attend all other meetings as called
Below is the list of standing meeting times (although some may be adjusted due to holidays or availability):

Each new faculty member (full-time and adjunct) is required to attend check-in and/or acquire certain items. The division coordinator or department chair may assist with these procedures, which include

- E-mail Account
- Parking Pass
- Mailbox
Access to Campus and Sites
The Mid-City campus and all site buildings are accessible during regular hours of operation (or if classes are being held) from Monday to Friday. The Mid-City campus and all sites are closed on Saturday and Sunday. Faculty and staff are not permitted to enter campus buildings on weekends unless prior approval to do so for a short period of time is granted by the BRCC Office of Public Safety/BRCC Police Department.
Instructional Sites
BRCC has eight instructional sites and nearly 20 dual enrollment instructional sites (high schools), and you may be asked to teach at locations other than the Mid-City campus.
Hours of Operation
The Mid-City campus and site buildings are open from 7:00 a.m. to 5:00 p.m. or until the last class being held ends on Monday to Friday. All BRCC offices (Enrollment Services, Human Resources, IT Help Desk, etc.) are open from 8:00 a.m. to 5:00 p.m. Monday to Friday. Outside of these hours, you will need to contact public safety to gain entrance to buildings.
ID/Swipe Card
Once you have your BRCC ID/L number, complete your request for an ID/swipe card online using Dynamic Forms in LoLA under “Current Students > Parking Permits and IDs.” All BRCC faculty and staff are required to wear/carry their ID cards when on campus. You will use your ID/swipe card to unlock your classroom(s). There is a charge for replacing lost ID/swipe cards.
Parking
A gated faculty parking lot is located behind the Magnolia building and can be accessed with a key fob; however, faculty may park in any available space. You also are required to obtain a parking hangtag and will need your vehicle registration and driver’s license to do so. Requests for ID cards/parking permits are completed online using Dynamic Forms in LoLA under “Current Students > Parking Permits and IDs.” There is no cost for obtaining a parking permit (hangtag), but there is a cost for replacing a lost hangtag. To obtain a key fob, please reach out to your department chair who will facilitate the approval of the key fob from BRCC IT.
If a swipe card or fob stops working, please contact IT before having it replaced.
Per the Faculty Workload Policy, 1.7060, faculty must be available to meet the varied needs of students. Faculty may offer flexible office hours for students that are consistent with the course modality and mode of instruction. These office hours cannot be held during the standing meeting time from 3:00-4:30 on Tuesdays and Thursdays. Adjunct faculty are not required to keep office hours; however, it is helpful if you can be available to your students for a few minutes before and after class as well as via BRCC e-mail. Faculty members should follow department policies regarding email response times.
End of Semester Check-Out
At the end of each semester, all faculty (full-time and adjunct) shall make sure they have met all of their obligations to BRCC. For specific requirements, faculty members should consult with the department chair or academic dean. The college reserves the right to withhold final paycheck(s) for non-compliance with check-out procedures.
Class Rosters
All instructors shall keep an official attendance record for each class. Class attendance records should be accurate and precise, and should be submitted at the end of the semester to their division in the manner specified by the college. These records are subject to inspection by appropriate officials.
Attendance Reports (Show/No Show)
All faculty are required to submit Show/No Show (SH/NOS) attendance reports in LoLA by the noon deadlines for each part-of-term set by the Registrar. For 16-weeks courses, the deadline is typically 5 days after the last day for students to add courses (13 or 14 days after the first day of classes). For 12-weeks, 8-weeks, and 1st 7/4- and 2nd 7/4-weeks courses, the deadline is during the first week of class. All online courses must have at least one graded assignment due during the first week of class/before the noon attendance reporting deadline. This assignment will be the indicator of student participation (SH). Face-to-face courses use any class period physically attended as an indicator of student participation (SH). Follow these steps to submit your SH/NOS reports:
- Log onto LoLA from mybrcc.edu
- Click “Faculty and Advisors”
- Click “Grade Entry”
- Click “Midterm Grades”
- Click on the prefix/# of the class(es) to access the drop-down menus next to each student
- For ONLINE courses, select SH (show = submitted at least one graded assignment) or NOS (no show = did not submit at least one graded assignment before the noon reporting deadline)
- For FACE-TO-FACE courses, select SH (show = physically attended at least one class) or NOS (no show = did not physically attend at least one class before the noon reporting deadline)
- Please make sure you enter SH or NOS for each student registered (see bottom right page navigation/arrow for 25 + students on the second page) and note that If you fail to report at least one student as SH or NOS, the entirety of your report will not submit
- Click “Save”
- Clicking “Save” before the deadline does not mean you cannot go back in and amend the record if students submit work or physically attend class before the attendance reporting deadline at noon
Attendance Keeping/Reporting (Face-to-Face)
Financial aid regulations require that daily attendance is kept. You will need to use Canvas or an Excel spreadsheet to keep attendance, and this spreadsheet will be submitted via Canvas at the end of the semester with your other end-of-semester check-out materials. When you turn in final grades through LoLA, you will be required to report the last day of attendance for any student receiving a failing grade. You will also be asked to report attendance (“show” (SH) or “no show” (NOS)) early in the semester, and you will receive information via email and Canvas about these deadlines. A NOS is a student that has never attended class. If a student fails to attend your class(es) prior to the reporting deadline yet contacts you regarding her or his intent to attend the first class after the reporting deadline, the student must be reported as a “no show” (NOS).
If you submit attendance prior to the reporting deadline but a student attends/submits an assignment between when you submitted attendance and the reporting deadline, please go back into LoLA and change the student’s NOS to an SH so that the student will not be unnecessarily dropped.
Attendance Reporting (Online Asynchronous or Online Synchronous)
See Attendance Keeping/Reporting (above). All requirements are the same; however, “attendance” for an online or synchronous “live” online course means that the student has submitted an assignment prior to the attendance reporting deadline. To ensure that students have an opportunity to “attend,” you should post one or more assignments. These can be low-stakes assignments like an introductory discussion board or syllabus quiz with a due date prior to the attendance reporting deadline.
If you submit attendance prior to the reporting deadline but a student attends/submits an assignment between when you submitted attendance and the reporting deadline, please go back into LoLA and change the student’s NOS to an SH so that the student will not be unnecessarily dropped. Since attendance reporting is at noon on its designated due date, please be sure your assignment deadline is at least two hours prior to the reporting deadline.
